A. SCOPE OF WORK:

Highly skilled, professional, administrative support in a fast-paced, deadline-driven Business Office, supporting the Grants and Expanded Learning Opportunities (ELO) programs. Provides support through efficient, effective, and confidential assistance to the Executive Director of Financial Affair, Director of Grants, Director of Expanded Learning Opportunities, and their staff. Applies planning and organizational skills including tracking deadlines, contracts, calendars and reporting requirements; maintaining electronic and paper files; retaining documentation required for auditing; completing purchase orders, tracking petty cash, payroll, and budgets; coordinating meeting schedules, and more.

B. ESSENTIAL FUNCTIONS:

This section outlines the fundamental job functions that must be performed in this position.

Supports the Executive Director of Financial Affairs, the Director of Grants and the Director of Expanded Learning Opportunities in all activities including scheduling, communications, research, reports/paperwork, audit compliance, budget management and project management.

Uses discretion in discussing school affairs and maintains a high level of confidentiality.

Exercises judgment in prioritizing items to be brought to the attention of the Executive Director of Financial Affairs, the Director of Grants and the Director of Expanded Learning Opportunities and their staffs.

Supports annual training of Administrative Assistants and Expanded Learning Site Directors on fiscal procedures, and shares out periodic updates throughout the year.

Supports Burlington School District (BSD) staff in implementing BSD procurement procedures, including procedures for the use of federal funds.

Manages compliance activities related to grant awards.

Investigates, analyzes and summarizes requests/data/information used as a basis for management decisions.

Plans procedures for accomplishing administrative support tasks, including answering phones and performing reception duties, typing and printing correspondences, reports, etc., ordering office supplies, maintaining appointment calendars, setting up meetings, photocopying, screening and distributing mail.

Prepares materials for signature.

Maintains an orderly electronic and paper filing system.

Performs routine office functions, including

filing, faxing, creating memos and reports, and performing other clerical duties.

Prepares purchase orders, orders supplies, and tracks travel reimbursement.

Tracks petty cash.

Monitors budgets and shares monthly YTD updates for each ELO site and funding source. In collaboration with Directors, make budget adjustments accordingly.

Prepares and monitors vendor contracts.

Attends regular meetings for the Business Office and any team trainings as needed.

Performs other tasks and duties in support of the Executive Director of Financial Affair, Director of Grants, Director of Expanded Learning Opportunities and the District mission as assigned.

C. REQUIRED QUALIFICATIONS:

Education

Minimum Required: High School Diploma or equivalent.

Preferred: Associate's Degree or Bachelor's Degree in Business Administration or related field.

Experience:

Broad base knowledge of general and specialized clerical and office management knowledge.

Good basic administrative and organizational skills.

Experience in organizing and maintaining moderately complex filing and records systems.

Experience in an administrative role preferred.

Working knowledge

Sufficient familiarity with the subject to know basic principles and terminology and to understand and solve simple problems.

General knowledge

Sufficient knowledge of a field to perform most work in normal situations. The work calls for comprehension of standard situations and includes knowledge of most of the significant aspects of the subject.

Advanced knowledge of the subject matter. The work calls for sufficient comprehension of the subject area to solve unusual as well as common work problems, to be able to advise on technical matters and to serve as a resource on the subject for others in the organization.

Requires complete mastery and understanding of the subject. This term should be used sparingly and only for unusually exacting or responsible positions required to originate hypotheses, concepts, or approaches.

List Specific Skills And/Or Abilities Required:

Highly proficient in use of technology, particularly in computer programs such as, but not limited to Google Workspace, Microsoft Office (Word, Excel, Powerpoint) and e-mail.

Ability to understand federal compliance requirements and provide support to staff district-wide for meeting them.

Ability to organize, store, retain, and retrieve documentation supporting purchases, contracts, etc.

Excellent communication skills, including written and verbal.

Demonstrated ability to plan, organize and prioritize work schedule to promote efficient workflow.

Assimilates new information efficiently.

Excellent time management skills with a proven ability to prioritize tasks and to meet deadlines.

Demonstrates sound judgment, discretion and maintains appropriate professional decorum in dealing with staff and the public.

Experienced in the use of office equipment.

Possesses such alternatives to the above qualifications as may be appropriate and acceptable.
